1. Information We Collect

ReCapIQ collects information necessary to provide our meeting recap service:

• Account Information: Email, name, organization details
• Meeting Data: Zoom meeting transcripts, metadata (title, date, participants)
• Integration Tokens: OAuth tokens for connected services (encrypted at rest)
• Usage Data: Meeting processing counts, feature usage, billing information

2. How We Use Your Information

• Process meeting transcripts with AI to generate summaries and action items
• Deliver outputs to your connected task management tools and Slack
• Manage your subscription and billing
• Improve our service and provide customer support
• Send transactional emails (trial notifications, usage alerts, receipts)

3. Transcript Retention

You control transcript retention in your settings:

• Retain Transcripts OFF: Transcripts are deleted immediately after processing
• Retain Transcripts ON: Transcripts are stored for 24 hours, then automatically deleted
• AI-generated outputs (summaries, action items) are retained indefinitely unless you delete them

4. Data Sharing

We do not sell your data. We share data only as necessary:

• OpenAI: Transcripts are sent to OpenAI for processing (not used for training)
• Connected Services: Action items are pushed to your selected tools (Notion, Asana, etc.)
• Service Providers: Supabase (database), Stripe (payments), Vercel (hosting)
• Legal Requirements: When required by law or to protect our rights

5. Data Security

We implement industry-standard security measures:

• All data transmitted over HTTPS
• OAuth tokens encrypted at rest
• Row-level security in database
• Regular security audits and updates

6. Your Rights

You have the right to:

• Access your data at any time through the dashboard
• Export your meeting recaps and outputs
• Delete individual meetings or all data
• Disconnect integrations and revoke access
• Cancel your subscription at any time

7. Data Deletion

Use the "Delete All Data" button in Settings to permanently remove:

• All meeting records and transcripts
• All AI-generated outputs
• All integration connections
• Your organization and account data

This action is irreversible. Billing records are retained for tax compliance.
